Special Schedules

Learn how to define temporary schedules that override an employee's base schedule for specific dates.

Special schedules let you override an employee's regular base schedule for specific dates. Use them when someone works different hours than usual — for example, a reduced week, a night shift period, or any one-off schedule change — without modifying the employee's permanent schedule assignment.

The special schedules list

The /admin/special-schedules page lists all existing special schedules with their reference number, description, assigned employees, and creation date. From here you can edit or delete any entry.

Creating a special schedule

Open the creation form

Go to /admin/special-schedules and click + Create Special Schedule.

Add a description

Enter a description to identify this special schedule later (for example, "Reduced hours – March 2026" or "Night shift – Carlos").

Define the working hours

Configure the schedule just like a regular schedule:

  • Set whether it is flexible or has fixed entry/exit times.
  • Define the working hours range for each day.
  • Assign hour types — both those that apply within the defined schedule and those that apply if the employee clocks in outside the scheduled window. Hour types affect payroll calculations.

Select employees

Choose which employees this special schedule applies to. You can assign it to one or more people at the same time.

Select the dates

Use the calendar to pick the dates when this schedule should be active, overriding each employee's base schedule. You can select non-consecutive dates freely — there is no need to pick a continuous range.

Save

Click Save and return. The special schedule is now active for the selected employees on the chosen dates.

Effect on payroll

The hour types you configure in a special schedule affect how hours are calculated in payroll. Make sure the hour types match your payroll rules before saving.
