Hours Summary

A monthly and annual overview of expected vs actual hours per employee, with a daily breakdown and filters to spot missing time.

/admin/employees/summary gives a quick overview of how many hours each employee was expected to work compared to how many they actually clocked, in either a monthly or annual view.

Monthly view

Switch to Monthly mode and navigate between months using the calendar selector.

Each row shows one employee with three columns:

  • Employee — The employee's name.
  • Expected — The total scheduled hours for the period, calculated from the employee's assigned work schedule minus any approved absences that fall in that month.
  • Worked — The sum of all time record durations for that employee during the period.

Daily breakdown chart

To the right of each row, a series of small vertical bars represents each day of the month. Hover over any bar to see the detail for that day. The bar colours indicate:

  • Blue — The employee clocked the expected hours for that day.
  • Red with a striped pattern — The employee is missing time compared to what was scheduled.
  • Absence type colour — The day has an approved absence (colours match those configured in Absence Types).

Filters

Use the filter icon at the top right to:

  • Narrow down which employees appear in the list.
  • Enable the With missing hours filter to show only employees who have unaccounted time in the selected month.

Annual view

Switch to Annual mode to see the full-year picture for each employee:

  • Expected — The annual working hours defined in the employee's contract.
  • Worked — The total hours clocked by the employee during the year.
  • Total — The sum of worked hours plus any hours from absence types that count as worked hours (such as sick leave or paid leave, which do not need to be recovered). This total should match the annual expected figure from the contract.
