Absence Types
Configure the absence types available in your organisation — names, colours, employee visibility, and document requirements.
Absence types define the different categories of absence that can be assigned to employees — vacation, sick leave, personal days, and any other types relevant to your organisation. They are configured in /admin/date-exception-types.
Fields
Name
The display name of the absence type (e.g. Vacation, Sick leave, Personal matters).
Colour
The colour used to represent this absence type on calendars. Assigning distinct colours makes it easy to distinguish between types at a glance.
Selectable by employees
When enabled, employees can choose this absence type when submitting a request from the mobile app. When disabled, only managers can assign this absence type directly — it will not appear as an option for employees.
Counts as worked hours
When enabled, the hours covered by this absence type are counted as worked hours and do not need to be recovered. This is typically used for absences like sick leave or paid leave — days the employee is absent but is not expected to make up.
Selectable in holiday calendar
Enable this only if this absence type is going to be used when building a holiday calendar. When enabled, the type will not be available as an individual employee absence — it is reserved exclusively for use in holiday calendar configuration.
Counts in absence index
When enabled, absences of this type are counted towards the absenteeism index for each employee. When disabled, they are excluded from the index.
Document types
You can attach one or more required document types to an absence type. When an absence of this type is assigned to an employee, the system will request that a document of each specified type be uploaded.
Documents can be uploaded by the employee after the absence date — for example, a medical certificate uploaded after a doctor's visit. The employee will receive a notification in the mobile app reminding them that a document is pending. Documents can also be uploaded by a manager from the admin panel Calendar by clicking on the specific absence and attaching the file.
In the calendar view, absences with a pending document requirement display a visual indicator.
For each document type you can configure:
- Required — Whether uploading the document is mandatory.
- Periodicity — How frequently the document must be submitted:
- Once — Even if the absence spans multiple days, only one document is requested for the entire absence period.
- Periodic (e.g. weekly) — A new document is requested at each recurrence interval. For example, requiring a new medical certificate every week for a prolonged sick leave.
