Schedule Templates
Create reusable schedule definitions that employees can request from the app or that can be assigned directly from the calendar.
Schedule templates serve two main purposes: letting employees request a schedule change for a specific day from the mobile app, and letting administrators assign a different schedule to an employee directly from the calendar view.
The two uses of schedule templates
Employee-requestable schedule changes — When a template is marked as selectable, employees can request it from the mobile app. The request is then reviewed and approved or rejected by their managers. Once approved, the template overrides the employee's base schedule for that day.
Calendar assignment — Templates can also be applied directly by an administrator from the Calendar view, without going through a request flow. The template name appears as a selectable option when assigning a schedule to a specific day.
Creating a schedule template
Go to /panel/schedule-templates and click Create Schedule Template.
Add a description
Enter a name for the template. This is what employees see in the dropdown when requesting a schedule change, and what administrators see when assigning it from the calendar.
Define the working hours
Configure the schedule the same way as a regular work schedule:
- Set whether it is flexible or has fixed entry/exit times.
- Define start time, end time, working hours, and break time for each block.
- Assign hour types for payroll calculations.
- Optionally add a description and enable the with notice option per block.
Use + Add block to define multiple time blocks if needed.
Set the hour type outside schedule — this applies when an employee clocks in outside the template's defined window.
Enable employee requests (optional)
Check Selectable for requesting a schedule change if you want employees to be able to request this template from the mobile app.
Prerequisite
For an employee to request a schedule change, their time recording policy must have this feature enabled.
Once enabled, two additional options appear:
- Restrict to groups — Limit which employee groups can request this template. Leave empty to allow any employee with the feature enabled.
- Absence flow — Optionally deduct from the employee's available absence balance when the request is approved. Choose between automatic calculation (difference in hours between the original and new schedule) or a fixed amount.
Save
Click Create to save the template. It is immediately available for calendar assignment and, if enabled, for employee requests.
How employees request a schedule change
Employees request schedule changes from the MyChronos mobile app:
- Open the app and go to the Calendar section.
- Tap the + button.
- Select Request schedule change.
- Choose the template and the date, then submit the request.
Approving schedule change requests
Pending requests appear in the schedule change request widget on the Dashboard. Managers can approve or reject each request from there. Once approved, the template is applied to the employee's schedule for the selected day.
