Employee Contracts
Manage an employee's contract history — create contracts, add new conditions, and track changes over time.
The Contracts tab is available on every employee profile, accessible from the tab bar at the top of the employee's record. It shows the full contract history and lets you create or modify contracts.
Contracts are required
An employee must have an active contract for MyChronos to calculate their expected working hours. Without a contract — or with an expired one — the system considers the employee as not working, and their expected daily, weekly, and monthly hours will be zero. This affects time tracking summaries, schedules, and other areas of the platform.
The contract list
Each row shows the contract's status, start date, end date, type, and the date the current conditions took effect. From each row you can:
- View (eye icon) — Preview the contract details.
- New conditions — Add updated terms to an existing contract that is still active (for example, a salary change). See Adding new conditions below.
- Three-dot menu:
- End contract — Sets an end date and closes the contract automatically.
- Correct conditions — Fix a data entry error on the current contract terms without recording a real contractual change. Use this only to correct mistakes, not to record actual changes.
- Delete — Permanently removes the contract.
New contract, new conditions, or correcting conditions?
Use New conditions when the contract is legally the same but some terms have changed — for example, a salary review or a change in contracted hours. The contract continues; only the conditions are updated from a new date.
Use End contract + Create new contract when the previous contract has expired or ended and the employee is starting a completely new one.
Use Correct conditions only to fix a data entry mistake on the existing record, not to register any real contractual change.
Creating a contract
Click Create Contract at the top right of the Contracts tab.

| Start date (required) | The date from which this contract is active. |
| End date | The contract's expiry date, if applicable. Leave empty for open-ended contracts. |
| Contract type | The type of employment contract (permanent, temporary, etc.). |
| Probation period | Toggle on if the employee is in a probation period. |
| Contract hours | The number of hours per week (or the selected period) defined in the contract. |
| Base salary | The gross base salary and the period it refers to (hourly, monthly, annual, etc.). |
| Role | The employee's job title or role as stated in the contract. |
| Level | The professional level or grade. |
| Legal entity | The company entity this contract belongs to. If your organisation has multiple legal entities, they can be created in Settings → Legal entities. |
| Notes | Any additional notes or observations about the contract. |
Adding new conditions
Use New conditions when an existing, still-active contract has changed — for example, a salary review or a change in contracted hours — but the contract itself continues.
MyChronos will ask for:
- The date from which the new conditions apply.
- The updated fields (only the values that have changed).
The contract history is preserved, showing each period with its own conditions and effective dates.
