Employee Documents

Upload, view, and manage documents attached to an employee's profile — contracts, payslips, medical certificates, and more.

The Documents tab on an employee's profile lists all files associated with that person. Each document shows its name, document type (which acts as a folder or category), and the date it was uploaded.

Document actions

Each row has the following actions:

  • View — Opens the document in the browser.
  • Download — Downloads the file directly.
  • Three-dot menu:
    • Replace file — Swap the current file for a new one while keeping the same record.
    • Delete — Permanently removes the document.

Use the filter icon to narrow the list by document type.

Adding a document

Click Add Document at the top right to upload a new file to this employee's profile.

Select the file

Choose the file from your computer.

Select the document type

Assign a document type — this acts as a category or folder to organise the employee's documents.

Notify the employee (optional)

Enable the notification option to send the employee an alert letting them know a new document has been added to their profile. They can then view it from the Documents section in the mobile app.

Request electronic signature (optional, PDF only)

If your organisation has an electronic signature module active and the file you are uploading is a PDF, an additional option appears to request the employee's signature. This sends a digital signature request to the employee so they can sign the document entirely online.

Electronic signature module

The electronic signature feature requires an active signature module. Modules are activated from Modules & Integrations in the main menu, under the Integrations tab. The recommended module is Stratya Sign.
